a) Dataset Statuses
Below the name of the dataset, the portal displays its status in green, blue, gray or yellow font. These can be the following:
Active – All dataset types, except for File uploads, can have this status. It means that the connection is properly set up and Zurvey.io is receiving and analyzing all new records as they come in.
Active embed – It shows that your survey has been successfully embedded into a website. It is visible to website visitors and processes incoming answers if there are any.
Paused embed – When a survey had been embedded into a website before, but the embedding is temporarily disabled, this status is displayed. Surveys with a paused embed status do not appear on the website, but you can easily activate them again without having to go through the whole setup process again. Active surveys with a paused embed status may still receive new records, just not through the website where they had previously been embedded. To learn more, check Embedding.
In progress – Only File uploads can have this status. It means that your dataset is being analyzed by Zurvey.io, either for the first time, or after you’ve started a reanalysis. The process consists of two steps: parsing the file and then the analysis itself. These steps are also displayed at the dataset item.
Finished – When Zurvey.io is done analyzing your uploaded file, this status is displayed.
Archived – It shows that the dataset has been archived and is inactive, which means it isn’t receiving new records at the moment. You can access archived datasets by clicking on ‘Archive’ from the drop-down menu at the top right corner of the page. You can permanently delete or restore your archived dataset from this Archive folder. After restoration, the datasets will be available on the main page in the dataset list again. If you delete a dataset from the Archive folder, even the Zurvey.io administrators cannot restore it for you.
b) Dataset Functions
Clicking on the three dots at the end of a dataset’s row on the main page or the archive, various functions appear depending on the type of dataset you’re working with.
- Dashboard – This function is available for all types of datasets. Clicking on it will take you to one of the dashboards. If the dataset is a survey or an NMI/API integration, the Results dashboard will open. For file uploads, it opens the Text Analysis dashboard if there are text columns in the dataset.
- Reanalyze – This function is only available for Surveys and File uploads. If you would like to make changes to the dataset (such as changing which Custom Labels are applied, or modifying other analysis settings), you can reanalyze the records according to your new settings.
- Append file – This function is only available for File uploads. Once you’ve uploaded a file for analysis and that has been completed, you can extend the dataset by uploading further files to it through this function. Please be aware that the appended file should have the same column structure as the original.
- Rename – Not happy with the name of your dataset? Change it here. This function is available for File uploads and API datasets. Surveys can be renamed from the Survey editor.
- Archive – If there’s a dataset you know you won’t need for a while, you can choose to archive it. Be careful: archived datasets don’t collect new records as long as they’re in the archive! Surveys are inactivated, API datasets give back an error when populated, while NMI Integration datastreams no longer collect records as long as the dataset is not restored. The archive function is only available to you if you are the owner of that specific dataset.
- Restore – This option is only visible for archived datasets, which can be restored to the main page and to active status by choosing this option. The restore function is only available to you if you are the owner of that specific dataset.
- Delete – Archived datasets can be permanently deleted. To avoid unwanted data loss, datasets on the main page cannot be deleted directly, you need to archive them first. The delete function is only available to you if you are the owner of that dataset.
- Preview – Only available for surveys: it takes you to the Preview section in the survey editor, where you can see what the survey looks like with your current settings.
- Edit – Available for Surveys and Email connectors. In case of Surveys, it takes you to the survey editor, where you can edit the questions and the survey’s layout, display and language settings. For Email connectors, it takes you to the setup page, where you can edit the redirect/alias address, the meta fields, the analysis settings and the custom labels.
- Publish – Only available for surveys. Clicking on this takes you to the Publish section of the survey module, where you can choose and edit how respondents will be able to access the survey.
- Copy – Available for surveys, APIs and Email connectors. This function creates a new dataset with the previous one’s settings, and opens up its editor. The name of the new dataset will be the same, but with the new creation date added at the end.
- Dataset alerting – Available for Email and API datastreams and Surveys. You can set up automatic email alerts based on your needs, for various occurrences in responses or scores, for example. When you click on this function, you can choose to select from a list of presets, or you can also create an alert from scratch.
- Scheduled export – Available for Email and API datastreams and Surveys. If you regularly need an email export of the dataset’s analysis results, you can set it up by choosing this function. All static export types are available (Result Export, Semantic Export, CSV, PDF) with a wide range of schedule options.
c) Tag Datasets
At any currently untagged dataset, you can see an ‘Add tag’ button.
Click on it to tag your datasets based on any logic you prefer, such as topic or industry. This is useful because you’ll be able to organize your datasets more easily. Also, when using the search bar at the top of the portal, you can find datasets based on their tags as well.
When you click on ‘Add tag’, a ‘Manage tags’ popup will appear, where you can simply type in your preferred tags. If other datasets in the group already have tags, possible matches will appear in a drop down menu as you start typing, and you can select to add tags from there. Otherwise, type the whole name of the new tag and press enter to add it. Don’t forget to save your changes once you’re happy with the list of tags attached to the dataset.
When a dataset already has tags attached to it, you’ll see them listed next to its status. You can click on the pencil icon next to them to open the Manage tags window again and edit them (remove them or add new ones).
